Medical Records/ GDPR Clerk

Location: Yorkshire Clinic, Bingley

Hours:  37.5 hours per week, Full-time

Salary: Dependent on experience + Benefits

Summary:
The Yorkshire Clinic is one of West Yorkshire's leading private hospitals set in three acres of woodland in the grounds of Cottingley Hall near Bingley. The hospital opened in 1982 and currently has 57 bedrooms including one twin-bedded room all with en-suite facilities.

By investing in advanced medical technology, the hospital offers a wide range of treatments and services. The four fully equipped theatres, all with ultra clean air technology, are particularly suitable for orthopaedic procedures, such as arthroscopy, hip and knee replacement.

Treatments at the clinic include knee cartilage surgery, knee arthroscopy, knee ligament surgery, cataract surgery and shoulder muscle repair. There is also one theatre especially suitable for minor local anaesthetic procedures.

The role:

We currently have a great opportunity for a Medical Records/ GDPR Clerk to join our team at Yorkshire Clinic, based in Bingley. This role sits within the Medical Records team however you will be responsible for the management of all GDPR requests.

As a Medical Records/ GDPR Clerk your main task will be supporting our consultants with fast and precise record creation which is so important to the smooth running of patient management. You will be expected to multi-task across a range of secretarial duties; offer good judgement in escalating issues, prioritising jobs, highly accurate typing, as these tasks all play an important part of your role. You’ll be valued for your skills and expertise and have the chance to build on them through our Ramsay Academy, too.

What you will bring with you

  • Excellent IT skills and accuracy
  • Audio typing experience – desirable not essential
  • Experience of multi-tasking and working to strict deadlines
  • Excellent verbal and written communication
  • High attention to detail
  • Knowledge of GDPR and relevant legislation pertinent to patient information
  • Background knowledge or experience with medical terminology – highly desirable

Duties & Skills:

  • Demonstrate strong GDPR and organisational skills.
  • Dealing with Subject Access Requests
  • Manage the GDPR process and systems for the hospital, disclosure of relevant records as required once officially processed to external organisations and members of the public.
  • Work with a high degree of attention to detail.
  • Ensure medical records information is available at all times through close liaison with the Outpatient and Inpatient Booking teams to allow compilation of both outpatient clinics and case notes for admissions.
  • Ensure case notes are compiled on a timely basis so they are available for outpatient clinics in advance of the patients’ attendance.
  • Ensure the scanning of blood, pathology and x-ray reports, (and all other pertinent information) is completed on an ongoing basis so that the full information is available for consultants and nursing staff when required.
  • Locating and creating of TCI notes for the ward, as needed for admission.
  • Provide an efficient scanning service to the hospital.
  • Maintain the scanning, archiving, destruction and where required storage of medical records on an ongoing basis.
  • Ensure patient administration system (P.A.S) records are updated on a timely basis with all relevant information
  • Ensure all patient notes are tracked correctly using appropriate methods and ensure all other hospital departments adhere to this requirement.
  • Undertake ad-hoc analysis, projects as requested
